About the Role
The Team Administrator provides comprehensive administrative support to the unit, manages records, consolidates reports and ensures smooth day‑to‑day operations. This role is essential for maintaining efficient workflows, supporting senior staff, and contributing to the unit’s overall performance.
Key Responsibilities
- Manage daily administrative tasks and maintain the unit’s filing system.
- Maintain diaries, schedule meetings and arrange refreshments as needed.
- Organise logistics for internal and external engagements, including travel arrangements.
- Take minutes, circulate them for input and follow up on actions.
- Draft, format and proofread correspondence, reports, presentations and other documents.
- Provide secretariat support for internal committees, ensuring compliance with governance requirements.
- Prepare and submit unit reports, business reviews, management committee papers and ad‑hoc resolutions.
- Administer local and international travel arrangements and process related claims.
- Answer and screen incoming calls, respond to general queries for the Head and team members.
- Update project trackers, follow up on deadlines and organise project documentation.
- Facilitate procurement processes, submit invoices and claims, and maintain records of purchases.
- Coordinate with the events unit to plan external stakeholder events.
- Maintain office supplies, stationery and equipment, ensuring adequate stock levels.
- Assist with the preparation of balanced scorecards, budgets and financial monitoring.
- Provide project administration support and prepare related reports.
- Maintain an up‑to‑date electronic and manual filing system for all unit documents.
- Administer the service‑provider database and keep contact and distribution lists current.
- Perform any other administrative duties as assigned.
Reporting and Database Administration
- Coordinate the preparation and alignment of the unit’s balanced scorecard and track performance.
- Assist in the preparation of divisional and unit budgets and monitor spending with budget owners.
- Prepare and present reports on activities, expenses, budgets and other relevant items.
- Develop and maintain a central repository for all unit documents, both electronic and paper.
- Maintain a database of service providers and ensure it is kept up to date.
- Keep contact lists, distribution lists and team databases current.
Performance Measures
- Timely and efficient administrative support to the team.
- High quality of presentations and reports.
- Effective management of the unit’s budget and operational expenses.
- Accurate generation of documents with minimal errors.
- Well‑maintained record‑keeping and retrieval systems.
Qualifications
Minimum: Bachelor’s degree in Office Administration, Project Management or Business Administration.
Desirable: Post‑graduate degree in Business Administration, Economics, Finance or Project Management; experience with SAP Procurement.
Experience
Minimum: At least 5 years of experience providing administrative support to teams, including drafting reports and presentations for senior executives and board members. Experience in coordinating cross‑functional projects and stakeholder engagements. Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
Desirable: Experience in the banking or financial services sector.
