About the Role

The Goods Receiving Clerk is responsible for the accurate physical receipt of materials and products. This role ensures that inventory records remain reliable and that goods are delivered to the correct department promptly.

Key Responsibilities

Receiving

  • Schedule all inbound deliveries.
  • Receive goods in line with departmental procedures, HACCP and ISO standards, and record them on the HACCP log sheet.
  • Maintain compliance with HACCP requirements.
  • Monitor delivery times, provide feedback to the supervisor, and follow up with suppliers when deliveries are late.
  • Check delivery documents against purchase orders for discrepancies in quantity, quality, price, etc.
  • Liaise with suppliers regarding incorrect deliveries and rejected goods.
  • Coordinate with internal staff to resolve delivery issues.
  • Distribute received products to the appropriate personnel or departments.
  • Ensure invoices are signed by the relevant department when goods are delivered.
  • Maintain a safe, clean working environment in accordance with HACCP and other legislative requirements.

Administration

  • Prepare credit notes for returned stock or invoicing discrepancies.
  • Maintain records to prevent duplicate orders, missing items, and other errors.
  • Track all issued credit notes.
  • Place ad‑hoc food and beverage orders as required.
  • Enter received goods into the system on an ad‑hoc basis.
  • Distribute invoices with attached purchase orders to the appropriate personnel for timely processing.

Minimum Qualifications & Experience

  • Grade 12 or equivalent (NQF Level 4).
  • At least 2 years of experience receiving food and beverage products in a warehouse or logistics setting.
  • Working knowledge of HACCP standards.

Skills & Attributes

  • Proficient with Microsoft Office.
  • Strong communication skills.
  • Good administrative abilities, especially data capture and processing.
  • Disciplined, meticulous, and detail‑oriented.
  • Ability to work productively under pressure and meet tight deadlines.
  • Honesty and integrity.
  • Physical capability to lift and carry up to 25 kg.
  • Willingness to work irregular hours, including weekends and public holidays.
