We are seeking a dedicated and efficient Receptionist/Administrative Assistant to join our team. The ideal candidate will be responsible for providing excellent customer service and administrative support. The role requires multitasking and attention to detail, ensuring smooth operations within the office.
Key Responsibilities:
- Handle both incoming and outgoing telephone calls, ensuring all communication is clear and directed appropriately.
- Report any communication issues or challenges to the relevant team member for timely resolution.
- Update and maintain the internal telephone directory regularly to keep contact information current.
- Oversee the reception area, ensuring it is always tidy, organized, and welcoming to visitors.
- Greet, guide, and assist visitors, ensuring they are directed to the appropriate person or department.
- Manage incoming and outgoing mail, ensuring it is properly distributed and dispatched.
- Arrange courier services as needed to ensure timely delivery of documents and packages.
- Maintain a stock of office supplies, such as stationery, and ensure that supplies are replenished as required.
- Monitor the maintenance and proper functioning of office equipment, reporting any issues promptly.
Qualifications & Experience:
- A completed Matric/Grade 12 qualification is essential.
- 2-3 years of experience in a similar administrative or receptionist role is preferred.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
